Additional terms for package tours organized by Aikamatkat Oy

Terms of payment

1. All tours should be paid at least until three weeks prior to planned departure either by cash, using major credit cards or by transferring the money to bank account  of Aikamatkat Oy. 
2. Cost of the trip includes round trip by bus or train and all the services as mentioned in the advertisement/ brochure. Default for accommodation is double occupancy in a tourist or business-class hotel room with or without breakfast in the hotel mentioned in brochure. Aikamatkat Oy reserves the right for changes in itinerarier or accommodation prior 14 days to departure, without changing the quality of the tour. Student discounts offered are available only for holders of a valid student card. All prices and offers are subject to change.  
3. Trip price excludes costs for individual visas, optional programs, unless mentioned, dining in restaurants,  entrances for night clubs, additional bus service, bus or train connections in Finland
4. Cancellation terms apply also for persons, those have received a refusal for Russian visa by a decision of Russian consulate.

Special terms for applying Russian visas

1. Aikamatkat Oy is not liable for for denied visa applications or documents, lost  or delayed by the Russian consulate. These terms are also applied when purchasing a Russian visa only.
   
2. Client is always responsible to check whether his information on the Russian visa is correct. Aikamatkat Oy is not responsible for misprinted information on the Russian visa, if caused by the Russian consulate.
   
3. Aikamatkat Oy is not responsible for client's visa registration in Russia, unless registration fee is included in the tour price. A default processing time for a Russian visa is 10 working days since the documents left or received at our office. Russian national holidays may delay the visa processing in the Russian Embassy.

Terms of cancellation

1. At the latest 30 days before departure, by paying the tour operator a service fee defined beforehand (not charged).
2. Later than 30 days but at the latest 15 days before departure, by paying possible visa costs and banking/postal charges
3. Later than 15 days, but at the latest 48 hours before departure, by paying 50 % of the tour price +possible visa costs.
4. If the tour is canceled later than 48 hours before departure, the tour operator has the right to charge the entire price of the tour.
5. In case of an unexpected and serious case, entitling passenger to cancel the trip according to the general terms of package tours (5.1.a.b), tour operator has right to charge necessary costs for nonrefundable cancellation fees e.g. flight tickets, train tickets, pre-paid services etc, based on the Finnish law of Package tours 15.2. However, tour operator does not have right to charge for the lost profit. We recommend to purchase a travel insurance, including basic coverage for trip cancellation. The  cause of cancellation has to be reported to the tour operator as early as possible and proven by doctor's certificate, police report or other official and reliable document.
